Retail networks in Estonia, Latvia and Lithuania are compact in distance but varied in format. Rimi, now part of Salling Group, operates 314 stores across the three countries in four formats, from 96 hypermarkets to 20 express stores. Lidl has been present in all three markets since its Estonian launch in March 2022. For established chains, that combination means pressure on availability and little room for stock sitting in the wrong place.

A network that mixes large and small formats will, almost inevitably, move goods between its own stores: a promotion that sells out in a city-centre shop while the hypermarket ten kilometres away still has pallets of it, seasonal lines that need rebalancing, or a customer order that can only be fulfilled from another site.

The gap between two stores

In many retailers the transfer itself is routine. A colleague packs the goods, a driver takes them, somebody unpacks them. The weak point is the record. Store A reduces its stock when the goods leave, or sometimes days later. Store B increases its stock when somebody finds time to enter it. In between, the goods belong to nobody. They are not available in A, not yet available in B, and invisible to head office and to the online shop.

That gap produces familiar symptoms: stock differences at the next count that turn out to be unbooked transfers, replenishment orders for goods that are already on the way, and long phone calls about a carton that one store sent and the other never saw.

What a clean transfer looks like

It starts with a request that both stores can see, whether head office initiates it or one store asks another. The sending store picks the items and scans them as they are packed, so the quantity leaving is the quantity recorded, not the quantity planned.

From that scan onwards the goods have a status of their own: in transit. They are no longer part of the sending store’s available stock, but they have not disappeared. Head office can see what is on the road and for how long.

At the receiving store, the delivery is scanned against the transfer. If everything matches, the stock becomes available there. If two items are missing or a different product is in the box, the difference is recorded at that moment, against that transfer, while people still remember what happened.

Why head office benefits most

Stores gain time and fewer disputes. The larger effect is central. With transfers recorded at both ends and transit visible in between, planners can rebalance stock across formats with more confidence, and stock differences can be traced to a process step instead of being written off as shrinkage.

Transfers that cross a border between group companies raise additional accounting questions. Those belong with finance and the ERP. The operational record of what left and what arrived is the basis either way.

One module of a wider platform
